Club Studio ("we", "us", "our") operates the website clubstudio.in (the "Website") and the Club Studio showroom in Rajkot, where we supply laminates, veneers, louvers, stone and acrylic surfaces. This Privacy Policy explains what personal information we collect when you use the Website, how we use it, who we share it with, and the choices you have.

By using the Website or sending us an enquiry, you agree to the practices described in this policy. If you do not agree, please do not submit your details through the Website.

1. Information We Collect

We only collect personal information that you give us directly. The Website has no account sign-up, no shopping cart and no payment facility, so the information we hold about a visitor comes from the enquiry form and from your correspondence with us.

When you submit the enquiry or "Get a Quote" form, we collect:

  • Your name;
  • Your email address;
  • Your mobile number and the country it belongs to;
  • Your message, and the product you were looking at when you sent it, if the form was opened from a product page;
  • The page of the Website the form was sent from.

Alongside the form, our server records the IP address the enquiry was sent from. This is kept with the enquiry to help us tell genuine enquiries from automated or abusive submissions.

If you contact us by phone, WhatsApp or email outside the Website, we keep the details you share with us in the course of that conversation.

2. How We Use Your Information

We use the information you give us to:

  • Respond to your enquiry and send you the quotation, samples, catalogue or advice you asked for;
  • Send you an acknowledgement email confirming that we received your enquiry;
  • Contact you by phone, WhatsApp or email about the project or product you asked about;
  • Keep a record of enquiries in our internal panel so that the showroom team can follow up on them;
  • Protect the Website and our team from spam, misuse and fraudulent submissions;
  • Comply with the law and with any legal process we are subject to.

We do not sell, rent or trade your personal information, and we do not use it for advertising networks or profiling.

3. WhatsApp Number Check

Much of our follow-up with customers happens on WhatsApp. When you send an enquiry, we may check whether the mobile number you entered is registered on WhatsApp, so that the team knows whether it can reach you there. This check sends the number to WhatsApp through a WhatsApp account that belongs to us; no message is sent to you by that check, and nothing else about you is shared with WhatsApp by it. The result of the check (registered or not) is stored with your enquiry.

4. Cookies and Tracking

The public pages of the Website do not set advertising or analytics cookies, and we do not run third-party tracking scripts on them. The only cookie set by the Website is a sign-in cookie for the administration panel used by our own staff; visitors to the public Website never receive it.

If we add analytics or other cookies to the Website in future, this policy will be updated to say what they are and what they are used for.

5. Third-Party Services

A small number of third-party services are involved in running the Website and in answering you:

  • Google Maps — the Contact page embeds a map of our showroom. When that page loads, Google may receive your IP address and may set its own cookies, under Google's privacy policy, which we do not control.
  • Email delivery — the acknowledgement sent to you and the notification sent to our team go through an email service provider, which processes your name and email address for that purpose.
  • Hosting — the Website and its database are hosted on servers operated by our hosting provider, which stores the data on our behalf.

These providers process your information only to provide their service to us. We do not give them permission to use it for their own purposes.

The Website links to other websites, including social media. Those sites have their own privacy policies, and we are not responsible for how they handle your information.

6. How Long We Keep Your Information

Enquiries are kept in our records for as long as they are useful for serving you and for keeping a history of our customer contacts, and for as long as the law requires us to keep business records. If you ask us to delete an enquiry, we will remove it from our active records unless we need to keep it to meet a legal obligation or to deal with a dispute.

7. How We Protect Your Information

Your information is stored in a database that only our authorised staff can reach, through a password-protected panel. The Website is served over an encrypted connection (HTTPS), so the details you type into the form are protected in transit. We take reasonable technical and organisational precautions to prevent loss, misuse or unauthorised access, but no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

8. Your Rights and Choices

You can, at any time:

  • Ask us what personal information we hold about you;
  • Ask us to correct information that is inaccurate or out of date;
  • Ask us to delete your information, subject to the retention explained above;
  • Ask us to stop contacting you about your enquiry.

We process personal information in accordance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023, as they apply to us.

9. Children

The Website is intended for adults and for businesses in the interiors, furniture and construction trades. We do not knowingly collect personal information from anyone under the age of 18. If you believe a child has sent us their details, please contact us and we will delete them.

10. Changes to This Policy

We may update this Privacy Policy from time to time as the Website or the law changes. The date at the top of the page shows when it was last revised. Any change takes effect when the revised policy is published on the Website, and your continued use of the Website after that is your acceptance of the change.
